To Fulfil Your Order (Contractual Obligation): We process your Identity, Contact, and Transaction data to process your payments, dispatch your motor parts, and handle any product returns or warranties.
To Manage Business Accounts (Legal Obligation): We transfer essential order invoice details to our accounting platform to comply with UK tax laws and HMRC regulations.
To Keep You Informed (Consent): If you actively opt-in at our checkout or newsletter forms, we will send you marketing emails about our products. You can opt-out at any time.

We do not sell your personal data. To run our e-commerce business, we securely share your data with the following essential third parties:

Platform Providers: EKM (our website platform host) and Sage Business Cloud (our financial accounting tool used to generate VAT invoices). [1]
Payment Gateways: EKM Pay and Klarna. When processing payments, your data will be handled according to their respective privacy terms. If you choose Klarna, they may perform a soft credit check which does not affect your credit score.
Couriers and Hauliers: To deliver your motor parts, your contact and delivery data is shared with our logistics networks, including Royal Mail, DHL Parcel, DHL Express, UPS, FedEx, Hooper Haulage, and Alliance Transport. [1]

4. Data Security and International Transfers

We take data security seriously. Access to your data is strictly restricted to our 9 internal team members who require it to perform their jobs.

While our business operates entirely within the UK, some of our software providers (such as globally integrated courier networks or payment processors) may store data on servers located outside the UK. We ensure all such providers use approved UK International Data Transfer Agreements (IDTAs) or valid adequacy frameworks to keep your data secure.

5. How Long We Keep Your Data

Financial Records: We keep invoice and transaction data in Sage Business Cloud for 6 years to comply with UK HMRC tax obligations.
E-commerce Accounts: If you create an account on our EKM store, we keep your data until you ask us to delete it, or after 3 years of complete customer inactivity.

6. Your Legal Rights

Under UK data protection laws, you have the right to request access to your data, request corrections, object to direct marketing, or ask us to delete your information (the "right to be forgotten").

If you have questions, or wish to make a formal complaint regarding your data, you have a statutory right to contact us directly in the first instance. We will respond to your request within 30 days free of charge.
